We are looking for an organised, confident and client-focused New Client Enquiries, File Opening and Compliance Clerk to support our Employment and Litigation departments across our Crewe and Nantwich offices. As an important first point of contact, you will help prospective and existing clients feel welcomed and supported while ensuring every enquiry is accurately recorded, appropriately triaged and progressed in line with the firm’s procedures.
You will manage the early stages of client onboarding, including conflict and identity checks, client care documentation, risk assessments, money on account requirements and file opening. You will work closely with fee earners, providing a clear handover once all requirements have been met. The role also includes secretarial support and cover across the firm when required. This is a full-time, office-based position and is not available on a hybrid basis.
What you’ll be doing
- Give new and existing clients a warm, professional welcome by phone, email and in person.
- Listen carefully, understand each enquiry and make sure it reaches the right team quickly.
- Clearly explain our services, processes, timescales and costs using approved guidance.
- Keep clear, accurate records of every enquiry and next step.
- Help prepare friendly, professional follow-up emails, cost information and onboarding documents.
- Complete key conflict, identity and AML checks, supporting fee earners with risk assessments.
- Open and maintain files accurately on our case management system.
- Make sure all checks, documents and payments are in place before a file moves forward.
- Prepare paper and online files so each client has a smooth start.
- Spot urgent or sensitive enquiries and quickly involve the right person.
- Give fee earners a clear, helpful handover with the key facts, dates and next steps.
- Handle confidential and sensitive information with care and discretion.
- Support colleagues across the firm with typing, diaries, digital dictation and occasional reception cover.
- Keep your knowledge up to date and get involved in wider firm initiatives where appropriate.
What we’re looking for
- Exceptional client care skills, with the confidence and courtesy to engage professionally with a wide range of prospective clients, clients and third parties.
- Excellent written and verbal communication skills, including the ability to gather information sensitively and draft clear correspondence for approval.
- Strong attention to detail, accuracy and presentation – and pride in getting things right.
- Good judgement and the confidence to know when to ask for support.
- Strong organisation and prioritisation skills, with the ability to manage competing enquiries, follow procedures and meet deadlines.
- Confidence with Microsoft Office and an enthusiasm for learning new systems; legal case management system experience is a bonus.
- Fast, accurate typing and confidence using digital dictation.
- A proactive, flexible attitude and the confidence to use your initiative.
- Care, discretion and sound judgement when handling sensitive information.
- A reliable, positive outlook and a genuine team spirit.
What we offer
- A competitive salary, depending on experience.
- 33 days’ holiday inclusive of bank holidays.
- Life assurance and access to our employee benefits scheme.
- Free parking.
- A supportive and collaborative team environment, with opportunities for personal and professional development.
- Start date November/December
